    PROPOSALS & CONTRACTS COORDINATOR

    Kimberlina Whettam & Associates (KW&A), one of LA’s top development consulting and municipal permit expediting firm, is in search of a Proposals and Contracts Coordinator to join our team.

    Launched in 2008, KW&A is a boutique, women-owned firm specializing in project approvals for land use projects. We are passionate problem-solvers and masters of follow-through. As part of these development teams, we have gained approvals for some of the city’s most defining projects of the past decade, including Academy Square, Dodger Stadium, Columbia Square, Google, LAX Automated People Mover, Netflix, Sunset Bronson Studios, Westside Pavilion as well as several high-end custom single-family homes.
    The Proposal and Contracts Coordinator will work closely with the Co-Managing Principal and Chief Operating Officer in supporting the company’s new business development and effective contract administration. This position will also have the opportunity to work with Senior Project Managers on both proposals and contract administration of existing projects.

    What You’ll Do…

    Proposal development

    • Receive and manage inquiries for new projects from potential and existing clients through a variety of channels;
    • Coordinate with Senior staff to determine if Company will submit a proposal for new opportunities;
    • Organize technical inputs and produce draft proposal for review, using company process and template and ensuring proposals are complete, clear and fully responsive to RFP/RFQ;
    • Update and maintain proposal and business development tracker;
    • Format, proof, and finalize outgoing documents including proposals, reports, client correspondence, and other communications as needed;
    • Distinguish and track new business development opportunities via Request for Proposal searches;
    • Conduct research as needed;
    • Assist in administrative tasks related to business development activities as needed
    • Assist with special projects as needed

    Contracts Administration

    • Assist in coordinating administrative processes from proposal stage to Contract Execution;
    • Review proposed and executed contract terms and conditions and advise team of exceptions and inform Senior Project Manager of terms and conditions on their projects;
    • Coordinate administrative and contractual steps of initial project set-up, including invoicing instructions, etc.;
    • Update and maintain Master Project List and contracts tracker;
    • Identify and coordinate with technical staff to organize technical inputs for and draft
    • Add Service agreements or contract modifications for review, using company
      process and template;
    • Track contract performance including schedules, deliverables, budget, change
      orders and revisions;
    • Identify contractual issues and prepare analysis for a proposed solution;
    • Assist with project/contract close-out;
    • Conduct research as needed;
    • Assist in administrative tasks related to business development activities as needed
    • Assist with special projects as needed

    General

    • Lend a hand to other team members in a variety of capacities where needed,
      gaining additional experience in operations and project management.

    What You’ll Need…

    • Bachelor’s degree strongly preferred; High school diploma, Associates degree or incomplete Bachelor’s accepted for candidates with strong professional work experience
    • 2 years of professional work experience; 1 year of relevant professional work experience
    • Attention to detail and organized
    • Strong written and oral communication skills
    • Competent in MS Word and Excel
    • Ability to manage fluctuating priorities
    • Capacity to work collaboratively across a team of several managers
    • Experience with contract management software and/or CRM-type software
      programs (desired, but not required)

    SENIOR PROJECT MANAGER

    The Senior Project Manager is an excellent manager of time, budget and human resources, a strategic thinker with strong analytical and decision-making skills, and a great team player with superb clarity and attention to detail.  Working with a team of associates, the Senior Project Manager artfully shepherds multiple projects from start to finish while fostering a collaborative, supportive and productive environment.

    What You’ll Do

    • Manage project approval process through City and & County agencies
    • Process B-Permit, tract maps, parcel maps, PMEX cases, street vacations, revocable permits and other Bureau of Engineering approvals
    • Expedite project plans through various government agency processes
    • Submit, effectuate and vest approved entitlements
    • Prepare pre-development feasibility analyses for prospective clients
    • Develop project timelines, fee estimates and entitlement strategies
    • Prepare Environmental Assessment Forms for ND or MND status
    • Track City land use policy that may impact client and KW&A services
    • Perform site research, site visits and zoning research
    • Attend project meetings and conference calls
    • Manage team associates to meet project deadlines and objectives
    • Work with clients, architects, engineers, traffic consultants, contractors and other development team members to achieve project goals
    • Lead periodic Q&A sessions and training sessions for KWA staff to assist with team development by exchanging information

    What You’ll Need

    • Education: Bachelor’s degree (Preferred but not required)
    • Work Experience: 3+ years in permit expediting, planning entitlements, or construction industry
    • Skills: Approval process experience and construction industry knowledge a must, along with strong communication, problem-solving, customer service, time management, teamwork, delegation and organization skills.
